1. Introduction

BookingXi ("we," "our," or "us") is a booking platform and website service for experience businesses, operated by CrewXI, LLC. This policy explains how we collect, use, disclose, and safeguard information when you visit bookingxi.com, request a demo, become a customer or partner, or otherwise interact with us.

2. Information We Collect

What we collect depends on how you work with us. Most people fall into one of three groups:

Visitors and demo requests

• Name, email address, phone number, and business information you submit when requesting a demo or contacting us, along with your SMS consent choice if you opt in to text messages.
• Essential cookies to operate the site, and a referral cookie that credits the partner or affiliate whose link brought you here.
• We may also collect publicly available business contact information (business name, contact name, email, phone) to tell businesses about our services. Email info@bookingxi.com to be removed from outreach at any time.

Our customers (businesses on BookingXi)

• Onboarding details about your business — services, locations, branding, content, and images — used to set up your booking platform and, where applicable, build your website.
• An aggregate monthly platform-fee figure reported by your deployment through an authenticated API. It is a single revenue total used for billing and partner commissions — it does not include your customers' personal information.
• Billing records such as invoice and subscription references. Payments are processed through Square; we do not store card numbers.
• Support ticket contents, including descriptions, screenshots, and browser details.

We do not ask our customers for bank account numbers or tax forms — customer payments run entirely through Square.

Partners in our commission program

• Contact details, agreement records, and commission history.
• Tax information (such as Form W-9 details) and payout information — collected because we pay partners, not the other way around: IRS rules require a W-9 and year-end 1099 reporting for commission income, and payout details are how we send partners what they've earned.

Partner tax identification and banking details are stored encrypted at the application level, and payouts are processed through Stripe. This applies only to enrolled partners — never to customers or site visitors.

3. How We Use Your Information

• To provide, maintain, and improve our platform and services
• To set up your booking platform and build and host your website
• To process invoices and payments, and to calculate and pay partner commissions
• To send technical notices, updates, support responses, and — with your consent — text messages
• To respond to your comments, questions, and customer-service requests
• To monitor and analyze trends, usage, and activities

4. Our Customers' End Users

Businesses that run their booking sites on BookingXi collect information from their own customers (such as bookings, contact details, and waivers). That information is controlled by the business you booked with, and their privacy policy governs it. BookingXi processes it only on the business's behalf, to provide the platform, and does not use it for our own marketing.

5. SMS / Text Messaging

If you opt in to receive text messages from BookingXi (for example, by checking the SMS consent box on our demo request form, or by verbally agreeing during a call), we will send you conversational messages about your demo, account, and our services. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message, and get help by replying HELP or emailing info@bookingxi.com.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, excluding sharing with service providers acting on our behalf solely to deliver the messages you requested (such as our SMS delivery provider).

6. Data Sharing

We do not sell your personal information. We share information only with service providers who process it on our behalf, including Square (customer payments and invoicing), Stripe (partner payouts), Twilio (text messaging and calling), Brevo and Google Workspace (email), Vercel (hosting), Supabase (database), and AI-assisted drafting providers we use to help prepare communications. Each is bound to use the information only to perform services for us. We may also disclose information when required by law.

7. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. All data is encrypted in transit (TLS) and at rest, and especially sensitive records such as tax identification and banking details are additionally encrypted at the application level.

8. Your Rights

You have the right to access, correct, or delete your personal data. You may also object to or restrict certain processing of your data, and opt out of outreach at any time. To exercise these rights, contact us at info@bookingxi.com.

9. Data Retention

We keep personal data only as long as needed for the purposes described in this policy: for the life of your account or engagement with us, plus the period required for legal, tax, and accounting obligations (for example, records tied to invoices, commissions, and tax filings). Outreach data is deleted on request. When data is no longer needed, we delete or de-identify it.

10. Children's Privacy

Our Services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact info@bookingxi.com and we will delete it.

11. U.S. State Privacy Rights

Depending on your state of residence, you may have additional rights over your personal information — such as the right to know, correct, delete, or obtain a copy of it, and the right to opt out of certain sharing. We do not sell personal information and do not share it for cross-context behavioral advertising. To exercise any right, email info@bookingxi.com; we will verify your request and respond within the time required by law, and we will not discriminate against you for exercising your rights.

12. Changes to This Policy

We may update this policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, make reasonable efforts to notify active customers and partners.
